Start with a site measure you can actually build a bid from
Walk the property with a wheel, a laser, and a notepad or tablet, and measure like you're the one installing it, not like you're describing it to someone else. Bed areas get calculated in square feet, broken out by planting bed versus turf versus hardscape. Edging and steel or aluminum border get measured in linear feet, including curves, because curved edging takes more time to set than straight runs. Note existing conditions: turf to be killed and removed, old shrubs to pull, tree roots that will fight your bed prep, drainage low spots, existing irrigation heads and valve boxes, and any retaining wall or grade change that affects soil volume.
Take photos of every bed, every problem area, and the irrigation controller and backflow if there's an existing system. Photos save you from callback disputes later when a client says "that rock pile was already there" and you have proof otherwise. If there's a slope, note it. Slope changes how much soil moves, how mulch stays put, and whether you need a French drain or dry creek bed as part of the design.
Turn field notes into measured quantities
Once you're back in the truck or office, convert raw notes into the numbers your estimate actually runs on:
- Bed square footage: total planting bed SF, split by zone if the property has a front, side, and back that will be phased or priced separately.
- Mulch and soil in cubic yards: depth times bed SF divided by 324 gets you CY for a given inch of depth (roughly). Most installs run 2 to 3 inches of mulch on established beds, deeper on fresh beds over amended soil.
- Edging in linear feet: steel, aluminum, or poly edging LF, noted separately from any masonry or paver border that gets priced as hardscape.
- Plant counts by size and grade: 1-gallon, 3-gallon, 5-gallon, 15-gallon, and B&B (balled and burlapped) trees, each counted separately because labor and material cost scale hard with container size.
This is where a lot of estimates fall apart. A contractor eyeballs "about 800 square feet of bed" and prices mulch off a guess. When the crew shows up and the beds actually measure 1,050 SF, that's an extra 2 to 3 CY of mulch and soil that nobody priced, plus the labor to spread it. Measure twice on site, price once in the office.
Build the plant schedule before you price plants
A plant schedule is a simple table: botanical or common name, size/container, quantity, spacing, and any notes on sun exposure or watering needs. This does three things for you. It lets your supplier quote real numbers instead of "a bunch of boxwoods." It gives the client something concrete to approve or edit before you're mid-install. And it's your defense if a plant doesn't establish, because you documented what was specified and installed.
Check the plant schedule against any HOA plant list before you finalize it. A lot of subdivisions and planned communities restrict species, height at maturity, or invasive/prohibited plants, and running afoul of that list after install means ripping out live plants and eating the labor twice. If the property is in an HOA, get the approved list or architectural guidelines before you quote, not after.
Grade and size matter as much as species. A 5-gallon holly and a 15-gallon holly aren't the same line item, and clients sometimes assume "holly" on a proposal means whatever size looks good in a photo. Spell it out: container size, caliper for trees where relevant, and expected mature spread so nobody's surprised in three years when the shrub they thought would stay small has doubled.
Price the demolition and haul-off honestly
Demo is where install bids quietly bleed money. Turf removal, old shrub removal, existing mulch or rock removal, and any hardscape demo (broken pavers, a dead retaining wall) all take crew time before a single new plant goes in the ground. Price demo as its own line, not folded into "install," so you can see if a job is demo-heavy before you commit crew days to it.
Haul-off is a separate cost from labor. Dump fees, trailer runs, and disposal of green waste versus construction debris all add real dollars. If you're pulling large shrubs or a stump, factor equipment time (mini excavator, skid steer) into the estimate rather than assuming hand labor will cover it.
Price materials by the yard and the count, not by feel
Soil and mulch get priced by the cubic yard delivered, plus a spread rate per CY that reflects bed complexity, slope, and access. A flat, open bed spreads faster than a bed full of existing shrubs you're working around. Plants get priced by size and grade from your supplier's current tag price, marked up for handling, delivery, and warranty risk, since a percentage of new plants won't establish and you'll eat some of that replacement cost depending on your warranty terms.
Edging gets priced by the LF, including stakes and corners, and hardscape allowances (a paver patio, a low seat wall, a dry-stack border) get carved out as their own line item or a client-facing allowance if the design isn't finalized. Don't bury hardscape inside "landscaping" as one number. Clients change their mind on hardscape more than on plants, and you want that scope isolated so a change order doesn't require re-pricing the whole job.
Don't forget irrigation, it drives the bid more than most contractors admit
Irrigation notes belong in your site walk from the start, not as an afterthought once plants are picked. Note the number of zones the property needs based on sun exposure, plant type, and turf versus bed areas, since drought-tolerant plantings and turf zones should never share a zone if you can help it, they need different run times. Check the existing controller's zone capacity if you're retrofitting, and note whether the backflow preventer and main line are adequate for added zones.
Price irrigation as its own scope with clear adders: new zone valve and wiring, drip conversion for beds versus spray heads for turf, smart controller upgrade if the client wants one, and any adjustment needed to meet local watering restrictions or municipal rebate program requirements. A lot of municipalities now cap turf irrigation days per week or restrict new sod in certain districts, so check current local watering restrictions before you finalize a design that relies on daily irrigation for new turf establishment. Where turf is being reduced in favor of drought-tolerant beds, that's often the single biggest driver of the redesign conversation, and it changes both your plant schedule and your irrigation zone count.
Account for seasonality in your pricing and your schedule
Seasonality affects three things on every install bid: plant availability, planting success rate, and crew day count. Spring and fall are peak planting windows in most regions because soil temps and rainfall favor root establishment, which also means supplier lead times stretch and prices firm up. Summer installs in hot climates need a heavier watering-in schedule and sometimes temporary irrigation just to get plants through establishment, which is a real labor cost, not a freebie. Winter installs in cold regions may be limited to hardscape and dormant tree/shrub planting only, with soft plantings pushed to spring.
Build seasonality into your crew day estimate. A bed that takes a two-person crew one day to plant in ideal spring conditions might take a day and a half in July heat with extra watering breaks and mulch settling issues. Price crew days against the season you're actually installing in, not a generic average.
Separate maintenance pricing from install pricing
Install and maintenance are different businesses on the same invoice, and mixing them confuses both the estimate and the client's expectations. Install pricing covers demo, materials, plants, and irrigation as a one-time scope with crew days budgeted to completion. Maintenance, if you're bidding it, needs its own line: mow/edge/blow frequency, bed maintenance visits, irrigation checks per season, and any warranty-period plant replacement built into the first year. Clients often want both quoted together, but keep the math separate so a change to the maintenance contract doesn't quietly eat into your install margin.
